Evening Activities & Events Coordinator
The Evening Activities & Events Coordinator (EVAC) plans, prepares, and produces the nightly Evening Activity and large-scale events for the entire camp. From Movie Night to Talent Shows, International Day, Carnival, and Casino Night, this special role recreates beloved traditions, creates new events, and serves a high-impact role with a lot of autonomy. The EVAC also supports Arrival and Departure days, helping the day run smoothly and making a great first and last impression on families.
This is a non-cabin role. The EVAC works closely with the Leadership Team, reporting to the Camp Directors to ensure each evening runs smoothly.
Essential Responsibilities & Functions
Programming
Build and maintain the nightly Evening Activity schedule for the full summer, balancing simple nights with larger productions.
Plan and run established camp traditions, including International Day and Casino Night.
Develop new, creative events that reflect Medolark's non-competitive, arts-centered culture.
Design activities that are inclusive and engaging for campers ages 7–16.
Collaborate with the Programming Director to align evening events with the overall camp calendar.
Event Preparation
Order and track supplies, props, and materials for each event within budget.
Plan and lead set-up and clean-up for every Evening Activity.
Delegate tasks to counselors and staff, communicating roles and expectations clearly.
Coordinate with the Operations Director on spaces, equipment, and logistics.
Event Production
Produce each Evening Activity from start to finish, ensuring it runs smoothly and on schedule.
Serve as the on-site lead during events, troubleshooting problems as they arise.
Work with staff to keep campers safe, supervised, and engaged throughout each program.
Adapt plans quickly for weather, schedule changes, or other unexpected circumstances.
Systems & Communication
Create and improve systems for planning, supply tracking, and staff assignments.
Communicate the nightly plan to staff and campers in advance.
Attend Leadership Team meetings and share updates, needs, and feedback.
Document each event (plans, supply lists, lessons learned) so successful programs can be repeated and improved in future summers.
Qualifications
Must be 21 years or older.
Experience planning or producing events, programs, or performances; camp, theater, or youth programming experience strongly preferred.
Strong organizational and project-management skills, with the ability to manage many moving parts at once.
Comfortable directing and delegating to staff, and speaking in front of large groups.
Ability to work independently with a high degree of autonomy.
Flexibility and sound judgment under pressure.
Passion for working with children
Candidates with a valid US driver’s license are strongly preferred.
