    Staff Handbook

    Please take a few minutes to review the Staff Handbook. We’ll cover everything in more detail during training, but we’d like to start getting everyone on the same page so expectations are clear from the beginning.

    Payroll & Tax info*

    Log in to your ADP account to complete the following:

*International Counselors —> complete the W4 and I-9 forms without your social security number; we’ll add it in when you arrive in the US. You can also skip the Direct Deposit info. We’ll enter in your Dash Card information at the beginning of the summer.

getting to camp

Arrival at Camp : June 15 or june 18

All staff should arrive by 5 PM on either Monday, June 15 or Thursday, June 18. Please plan your travel accordingly:

  • Fly into Boston Logan (BOS): Earlier arrivals are better; Camp is a 3-hour drive from Boston.

  • Fly into Portland (PWM): Earlier arrivals are better; Camp is a 1.5-hour drive from Portland. 

    • Important: Book flights to Portland, Maine (PWM)—not Portland, Oregon!

  • Fly into Augusta (AUG): Limited flights availble; Camp is a 30-minute drive from Portland. 

  • Take a bus to Augusta, ME

  • Drive yourself, carpool, or get dropped off: You are welcome to drive directly to Camp. Please arrive by 5 PM.

Airport Pickup – Boston (BOS), Portland (PWM) & Augusta (AUG) only 

  • We’ll provide transportation from Boston (BOS), Portland (PWM), and Augusta (AUG) on June 15 and June 18.

  • Once you’ve submitted your Travel Form, you’re all set!

  • We’ll be in touch with your Shuttle Information (aka your ride from the airport to camp) in early June.

What about NYC?

NYC is a 7-hour drive to Camp, so unfortunately, we are unable to provide pick-ups. If you are flying into NYC, we recommend you book a connecting flight into Portland, ME.

RETURNING HOME

  • We’ll provide transportation to Boston (BOS), Portland (PWM), and Augusta (AUG) on departure dates.

  • Please check your Staff Contract to confirm your departure date before booking.

  • Reminder that Camp is a 1.5-hour drive to Portland and a 3-hour drive to Boston.

    • Later departures are better; we may not be able to accommodate departures before 12 PM.

Weather - Sunny Days with Cool Nights:
Days at Med-o-lark are usually warm and sunny, with temperatures ranging from 55–90°F (13–32°C). It tends to cool off at night, so layers are key! On average, expect daytime temperatures around 80°F (26°C).

We Do Your Laundry - Pretty Cool, Right?
Once a week, your laundry will be picked up and returned fresh and clean two days later—free of charge! We provide all staff with a laundry bag to use, so no need to bring your own. Just another way we help make camp life a little easier.

Pack Light - For 10 Days, Not a Whole Summer:
We provide weekly laundry service, so packing for about 10 days is more than enough. For bulky essentials like rain boots or full-size toiletries, you might want to purchase them once you're here. We’ll take staff on field trips to nearby stores shortly after arrival.

Keep Your Sheets & Pillows at Home:
Don’t worry about packing linens or pillows —we’ll provide bed sheets, a pillow, a blanket and a towel to make your arrival easier.

Dress Code – Keep It Casual:
Camp life is informal, so leave your fancy clothes at home! Pack comfy, casual clothing like shorts, t-shirts, jeans, and sweatshirts. One or two dressier outfits are great for special camp events or outings, but otherwise, think practical and relaxed.

US Citizens or Green Card Holders: log into ADP and complete these steps:

  1. Update your personal information

  2. Complete the W4 form

  3. Complete the I-9 form

  4. Submit your Direct Deposit Information

International Staff: log into ADP and complete these steps:

  1. Update your personal information

  2. Start the W4 form*

  3. Start the I-9 form*

* You should be able to leave the box for Social Security Number blank or select the option for not yet having a Social Security Number. We’ll help you complete your W4 and I-9 forms once you arrive at Camp.

Dash Debit Cards

  • US citizens: you will get paid through direct deposit, so funds will get deposited directly to your bank. You can complete your bank information on our onboarding form.

    International staff:: we will set you up with a debit card, so you don’t need to open a US bank account. Once you arrive at camp, we will help you with paperwork like getting a social security number and completing a W4.

  • Yes, all staff, whether US citizens or those on a J-1 Visa, will have a % of their pay withheld for taxes. If you are. US citizen or greencard holder, your deductions will be both state and federal, as with any paycheck. For international staff, there will be a 10% federal deduction.

  • Most of our international staff prefer having their pay come through a debit card. However, if you have a US bank account, you may prefer to have your pay come as a direct deposit. If so, please reach out to us at Brendan@medolark.com

  • Every 2 weeks.

We are excited for another amazing summer! Start brainstorming lesson plans for your areas of instruction and cabin activities. Consider the varied skill levels of campers as you prepare.

If you are teaching an activity, consider preparing a few lesson plans that accommodate beginners to advanced campers.

We encourage creative approaches that make learning fun and engaging!
